June 2026 AGM Supporting Documents

The Englefield Green Village Neighbourhood Forum Steering Committee gave you notice by email on the 2nd June 2026 of the Annual General Meeting no 7 to be held on the 18th June 2026 at 6.30pm at the Village Centre, Victoria Street.

Clause 5(h) of the Constitution allows for a Forum member to appoint the Chair of the meeting to vote on their behalf. We understand and appreciate that not all members are able to attend the AGM in person but nonetheless would encourage you to submit a proxy vote. It is simple to do and you will receive confirmation it has been received. Your vote will then be recorded in the meeting, which will be attended by the current Steering Committee members, and after which minutes will be issued to you as soon as possible.

If you wish to volunteer to join the Steering Committee, please complete the relevant section on the proxy vote form or email your request to egvforum@gmail.com no later than 17 June 2026 . Your potential appointment will be noted under AOB but will not be voted on in the AGM. Instead, in accordance with clause 5(n) of the Constitution, the Steering Committee can by unanimous vote agree to add members to the Steering Committee. A vote will take place in the monthly meeting that will occur shortly after the AGM, and you will be informed directly thereafter.
